Apply the Top-Third Rule

“Place your key selling statements up in the top one-third of your first page. Your resume gets no more than 20 seconds of eyeball time before your reader has made the decision to either continue reading or to pass. Grab attention early and place your most dramatic sales pitch as close to the top of page one as possible.”

Diane writes: I would like to send my resume with a cover letter to recruiters/employment agencies. The career development office I’m working with advises that it is better to have someone’s name to address the cover letter to. Since it would require a great deal of time to try and get a staff member’s name for each agency, would it be acceptable to use a generic salutation, such as Dear Recruiter?


The Career Doctor responds:

The rules of cover-letter writing are a bit different when writing letters to headhunters than when writing letters to employers, but the one rule of all cover letter writing is that the job-seeker must — as best as possible — address the letters to named individuals. Think about it, when was the last time you read (junk mail) addressed to “Dear Homeowner” or “Dear Pet Owner.” If you don’t read these kinds of letters, why should busy professionals? Job-seekers must always take the time to get names and titles for cover letters.

Before I get to the differences in content, let me also address one other red flag in your question. Why would you be sending off so many letters to recruiters?
Take the time to research the recruiting agencies that specialize in your field and in your preferred location — and contact only those recruiters. Don’t waste your time — and the time of those recruiters — by writing to recruiters who don’t work in your area.

One other comment about strategy. The majority of recruiters say that the resume is the single most important document they look at when evaluating job-seekers; cover letters are a distant second. The message here? Make sure your resume is exceptional.

Your cover letter to a recruiter should focus on these elements:

  • Contact information
  • Why you are on the job market
  • Job titles and industries of interest to you
  • Salary history and salary expectations

I had been job-hunting without much success when a recruiter at a job fair told me he thought my resume was really bad. I was shocked! I thought I had a pretty darn good resume. What do I need to write and improve my resume?


The Career Doctor responds:

You didn’t attach your resume, so I don’t know for sure what the specific problem is with your resume, but I have seen enough bad resumes to know some of the most common problems. And for a recruiter to tell you that your resume was bad means that it must be really bad. I’m not trying to be overly harsh, but to add a douse of realism because I find job-seekers often ask for advice on improving their resume when they secretly love it and plan no changes.

So… here are my all-purposes fixes for resumes.

First, your resume has to have a focus. Every job-seeker needs to be a specialist, a specialist that fits the needs of the prospective employer perfectly. Sometimes a job objective or summary of qualifications can give you the edge you are seeking.

Second, your resume must showcase your accomplishments. Employers like specifics. They don’t want to know you saved your former employer money; they want to know exactly how much money you saved. They want to know the exact size of the staff you managed, the amount you increased revenues, the level of customer satisfaction you delivered.

Third, there is no such thing as one resume. Gone is a one-size-fits-all resume. Every resume you send out should be different from all the others. You need to use specific keywords and phrases that fit each employer.

Fourth, your resume has to look appealing, welcoming. Yes, it’s superficial, but a plain resume (or worse, from a template) screams plain job-seeker. Take the initiative to design your own resume style… or hire a professional resume-writer who can do it for you.

Make Your Resume Specific and Targeted

To keep from limiting themselves, candidates sometimes create a very broad resume that lacks specific information. A peeve for one survey respondent is “failure to include enough information for a recruiter to determine fit. Executives more so than less-senior level candidates should be aware of the importance of effective communication, and yet they seem less motivated to tailor their resume to the specific job in which they are seeking.”

Top Notch Executive Resumes Hiring decision-makers surveyed for the book, Top Notch Executive Resumes identified this as one of their Top 30 Executive Resume Pet Peeves: Resume does not list phone number, only an e-mail address, or has inappropriate e-mail address. In the age of electronic submission, many candidates seem to think decision-makers will want to communicate by e-mail only, but a phone number on your resume is an absolute must. Be sure to include a daytime phone number as that’s when recruiters are most likely to call you. The recruiting process often moves too rapidly for e-mail; recruiters prefer to call — and expect you either to answer or call back without delay. Without a phone number, “I can’t call you,” said recruiter Alice Hanson, “and most jobs I have on my desk need to be filed in 24-48 hours. I find a good candidate and can’t connect — it drives me wild.” If employers can’t reach you very quickly, they’ll move on to the next person. They still want to see e-mail addresses listed as an alternate contact method, however, and recruiters note a surprising number of candidates who fail to provide sufficient contact information.

Do you need more than one version of your resume? Most likely, yes. You may need more than one organizational format for your resume. See table below for the most common organizational formats.

We include functional and chrono-functional formats because they do have their uses, but we should note that purely functional resumes are the least common, least preferred by employers, detested by recruiters… and most Internet job boards do not accept this resume format.

Chrono-functional/hybrid/combination resumes can suit a variety of job-seeker needs, such as a diverse job history that doesn’t add up to a clear-cut career path and situations where the job-seeker has work experience that is related but not an exact link to the desired position. Job-seekers who have large employment gaps or many short employment stints prefer this format because it downplays employment history. This type of resume has been known to work for mature workers, career changers, and job-seekers with academic deficiencies or limited experience.

While the chrono-functional/hybrid/combination resume is more acceptable to employers than the purely functional format, some employers are unaccustomed to functional formats of any kind, finding them confusing, annoying, and a red flag that something is wrong in your background. At the very least, they will probably scrutinize a chrono-functional resume more closely to check for details and find the flaws that inspired the candidate to use this format. Some employers insist on knowing exactly what you did in each job. Recruiters/headhunters particularly disdain functional formats, so this approach should never be used if you are primarily targeting recruiters with your job search. Employers in conservative fields are not fans of functional formats, nor are international employers. Functional formats, even chrono-functional, also are not acceptable on many online job boards. In summary, the chrono-functional resume has very limited uses but can be a viable marketing tool if well done.

Years ago, we created “catchy” resumes, using sophisticated language, printing them on colored paper or even having them delivered by singing messengers to get the attention of the decision maker, writes Sherri Edwards in her article for Quint Careers, Dispelling the Myth About Resumes. Life, work, and the pursuit of employment have changed since then. When sent in response to a job announcement, the chance of a resume directly reaching the decision maker without going through a screening process is slim to none. “Catchy” has been replaced with “targeted” and “to the point.” People spend many hours trying to break the recruiter’s or or human resource specialist’s code to determine what will catch their eye. It seems the real value a resume offers to a candidate may get overlooked in the process of becoming “catchy” or “cute” or packed with “keywords.”
